Office Manager, Operations

As an Office Manager you’ll be responsible for essential operational tasks in both the front and back “of the house”. You’ll keep our space feeling good and fully stocked so colleagues have the information, tools, and fuel they need to thrive. You’ll keep our business organized by supporting leadership, accounting, and operational teams as an essential administrator.

Finding ways to streamline routine processes, increase information access and transparency for colleagues and build systems to increase workplace efficiency
Assist the Facilities Manager in correspondence and collaboration with building management, contractors and vendors
Managing all break room and office spaces, including ordering supplies, organizing and maintaining common areas to ensure employees have quick access to what they need
Building filing systems for proper storage and maintenance of important documents, including receipt and processing of mail correspondence
Work closely with the contracted accounting services to submit invoices for payment and assist accounts payable
Owning and managing user account creation, colleague access and subscription billing for all web and application based workflow tools; in collaboration with outsourced IT support
Directing improvements to the employee onboarding experience; ensuring new hires have the tools and information they need to hit the ground running
Working closely with the Operations team in organizing celebratory and colleague engagement events to reflect on the progress we make towards our milestones
Supporting the executive team as an administrator, including scheduling executive and company wide calendar events, monitor scheduling conflicts, and manage event planning for special visitors
Coordinate business travel arrangements for colleagues, candidates and collaborators
Providing ad hoc administrative support to Ansa colleagues in need

Bachelor’s Degree with 2+ years of relevant experience or High School Diploma with 5+ years of relevant experience
Exceptional time management skills with the ability to multitask and prioritize throughout each day
Excellent organizational skills; including work space organization, physical and electronic record keeping, and organization projects and tasks
Tech-savvy with a strong understanding of applications accounts management or an aptitude to learn new softwares and systems
Good judgment regarding the management of confidential and private information
Great analytical skills with an eagerness to proactively problem solve
Strong interpersonal, written, and verbal communication skills
Open-mindedness with willingness to learn
Accounting experience or accounts payable (QBO, experience a huge plus
