Accounts Payable & Payroll Specialist

About this position:
The Accounts Payable & Payroll Specialist is responsible for a variety of time-sensitive and confidential accounting duties. Activities include including processing semimonthly payroll, processing accounts payable and purchasing transactions, entering journal entries, reconciliation of related general ledger accounts, and fielding internal and external inquiries.

Job description and technical requirements:

Accounts Payable

  • Ensure correct approval, sorting, coding, and matching of invoices and receipts in accordance with company policy and internal controls
  • Perform day-to-day financial transactions, including verifying, classifying, computing and posting accounts payable and purchasing data
  • Audit employee expense reports and credit card transactions to ensure compliance with policy guidelines and approval requirements
  • Reconcile vendor statements and resolve discrepancies in a timely manner
  • Prepare vendor payment listings for management approval
  • Process vendor payments, which include both online banking transactions and manual check payments to domestic and foreign vendors
  • Maintain accurate and organized vendor files and A/P records
  • Prepare month-end/quarter-end journal entries and reconciliations under the direction of accounting management.
  • Gather and/or prepare documentation for external auditors
  • Performs other duties as assigned

Payroll

  • Process regular payroll cycles on a semimonthly basis for all entities
  • Collaborate with Human Resources to ensure pre-scheduled receipt of all support needed for payroll processing (new hire information, benefit and tax deductions, employee data updates)
  • Process accurate and timely payroll updates within payroll platform, including new hires, terminations, and changes to pay rates or deductions
  • Work with department managers to ensure time and attendance is reviewed and approved on schedule
  • Audit and review time and attendance for all employees; perform regular and ad hoc reporting
  • Prepare payroll journal entries
  • Maintain and track time-off accruals and other leave programs, and check for accuracy
  • Provide information and clarification for employee questions related to timesheets, payment calculations, and leave balances
  • Perform audits on data integrity, maintenance tax forms processing, timekeeping input, new hire and direct deposit set up, terminations, and benefits
  • Gather and/or prepare documentation for external auditors
  • Provide back-up and ongoing assistance for payroll onboarding, offboarding, and special projects
  • Assist with retirement plan administration and processing
  • Assist with benefit portal management and reporting

Qualifications and Experience:

  • At least 3+ years’ related work experience required, experience in life sciences a plus
  • Bachelor’s degree in in Accounting, Business Administration, or related field
  • Analytical and critical thinking skills, including intermediate Excel skills and demonstrated ability of analyzing and representing data
  • Must be extremely responsible with integrity and ability to maintain confidentiality and discretion
  • Ability to meet assigned deadlines, including follow-up on urgent and time-sensitive items
  • Excellent communication, organization and interpersonal skills
  • Ability to work cooperatively and collaboratively with all levels of employees, management and external parties to maximize performance and problem solving

Physical Demands and Requirements  

  • Able for full-time work in an office environment
  • Able to use standard computer, telephone and related equipment for communication, correspondence, and recordkeeping
  • Able to occasionally provide on-call availability and responsiveness during non-business hours
  • Able to lift and/or move up to 20 pounds.
