Event Planning and Sales Support Associate

Job Responsibilities

 

Event Coordination at Multiple Bonneville Labs sites
Engage with vendors and members, and supervisor to determine a roster of appropriate events to improve membership experience at Bonneville Lab
Running events to ensure client satisfaction
Tracking and monitoring event attendance and engagement
Coordinate with the Community Manager and Director of Customer Delight, clients, vendors, and others to establish needs for events, and be a liaison through the planning process.
Plan and facilitate logistics for all events, including
Contract Negotiations,
Guest lists
Venue preparation
Presentation materials
Catering
Entertainment
Equipment
Décor
Marketing materials
Sales Support
Attend sales calls and tours to take notes and follow up with potential member requests
Creating/updating sales documents and fliers
Update and maintain member contracts
Track expiring contracts and flag for renewal
Handling some administrative duties including scheduling sales call and meetings
Data entry for metrics, sales figures, and other key data
Provide assistance to the Director of Customer Acquisition and Delight as needed
Handle logistics for member meetings
CRM and database management
Listening to customer requests and keeping records of these requests

The ideal person for the job will be a proactive problem solver with exceptional communication skills and meticulous attention to detail. He/She will have previous experience working in an office environment, performing administrative duties, and providing support to management. Excellent leadership skills and ability to manage the daily details with big-picture thinking. Respond to client requests by gathering and providing information, referring calls, and asking probing questions to respond appropriately to client needs.

Experience with event, meeting, and conference planning, including cost containment, venue scouting, equipment logistics, room setup, and best practices.

Experience in sales administration.

 

Skills and Qualifications

 

4 year’s experience as a sales/events associate or in an administrative role reporting directly to upper management
Superb written and verbal communication skills
Proficiency in Microsoft Office suite, Adobe, and other office productivity tools, with an aptitude to learn new software and systems
Proficiency in HubSpot and Smartsheets a plus
Flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge
Experience with event planning and/or coordination
Strong interpersonal and communication skills
Experience in maintaining and building enriching business relationships
Excellent organizational skills, including multitasking, time management, and meticulous attention to detail
Ability to handle pressure and make decisions
Flexibility for local travel when needed
This job will be remotely based but will require regular visits to all of Bonneville’s local campuses
